Property Care Coordinator

Vantage Resort Realty is seeking a conscientious Property Care Coordinator to act as a liaison between our clients, the Property Care Department, guests, and vendors. This position is the first point of contact for all guests who have contacted Client Services with quality or maintenance concerns.  It is responsible for addressing all property care issues with the appropriate vendors and maintaining a chain of communication through completion with the guest, vendor, and the Property Care Team Leader and Manager.  It will also monitor all invoicing from both vendors and property owners to ensure accuracy.   


Position Goals and Responsibilities:

  • This position is responsible for coordinating  property care work orders to ensure all client calls have  been addressed and units brought to  brand standards,- establishing a superior standard of excellence and exceptional service, setting the expectations for future visits:
    • Answer phones in a professional courteous manner and respond to guest or owner in a calm disposition at all times
    • Maintain a log of all maintenance calls outlining disposition of calls
    • Initiate work orders via Oracle for internal maintenance staff and outside vendors
    • Coordinate with maintenance staff and outside vendors to schedule work needing to be performed in a unit.
    • Follow-up with outside vendor/internal maintenance staff to ensure completion of work order
    • Update/closeout works orders
    • Follow up with guests after work has been completed
    • Deliver maintenance/stock items to a unit when needed for guest satisfaction, on an as-needed basis i.e. deliver new coffeemaker
    • Inspect rental units pre-season to ensure that the unit is ready for rentals
    • Complete inspection reports accurately as directed my Property Care Manager and/or Team Leader
    • Correspond with clients regarding inspection results via email communication
    • Follow up with clients to ensure compliance with our rental ready guidelines
    • Perform minor maintenance tasks in units such as, but not limited to, changing smoke detector batteries, changing HVAC filters, moving outside furniture inside a unit, taking out trash, remove linens from beds and bag for linen pick-up, retrieving linen bags from units when not picked up by linen company, change light bulbs, deliver linens/towels to guests who may have been shorted in their linen order
    • Prepare linen orders for last minute linen package requests
    • Organize and inventory maintenance stock areas
    • Perform clerical support duties such as, but not limited to, filing, copying, opening and sorting mail, checking email and phone messages
    • Be available for after hours on-call coverage, approximately once every 4-6 weeks between May and October 
    • Interact with all levels of management regarding property care issues as needed, i.e. guest removals, extensive property damage by a guest, etc.
    • Manage Key process to include the following:
      • Make copies of unit keys as needed
      • Verify keys or coordinate with maintenance staff to verify that keys work before adding to key inventory
      • Help prepare inspector key inventory for weekly inspections
      • Re-hang keys returned by vendors in the designated unit position in the key inventory cabinet
      • Make new labeled key tags for new keys and/or replacement of damaged or lost key tags


  • Provide a variety of miscellaneous support to the Property Care Team in efforts to provide a seamless experience for the arriving guests:
    • Maintain an organized work area, ensuring the lobby and Front Desk area are cleaned daily
    • Assist Vantage team whenever possible with guest/client concerns



To be considered for this position all candidates must have the following:

  • High School Diploma
  • Valid Driver’s License and reliable transportation
  • Experience in Hospitality and/or Customer Service preferred
  • Must have a cellular phone, preferably with a camera


Applicant MUST have the following skills:

  • Ability to climb stairs and use a ladder
  • Capable of working outdoors and in high temperatures
  • Strong listening, oral, and written communication skills
  • Analytical thinking and problem solving
  • Acute sense of urgency, with strong time management skill
  • Ability to prioritize and multi-task
