Vacation Rental Coordinator

Vantage Resort Realty is seeking a dynamic, customer service focused Rental Coordinator with experience in a fast-paced environment to act as a liaison between Vantage Resort Realty, New Jersey (Vantage), clients, guests, and vendors. This position fulfills reservation requests by determining property availability to meet the guest’s desires, - while providing excellent customer service, generating revenue and encouraging repeated use of Vantage.  It assures the highest level of customer service, as the guests’ first point of contact upon arrival ensuring the guests are given all reserved items and attending to clients concern, including quality and maintenance.  It is responsible for addressing all property care issues with the appropriate vendors and maintaining a chain of communication through completion with the guest, vendor, and the Sr. Business Development Coordinator/Office Manager,- as well as monitor all invoicing from both vendors and property owners to ensure accuracy.   


Position Goals and Responsibilities:

  • Pull weekly Occupancy reports and take proactive role in filling any vacancies
  • Remain current on all properties in the Vantage portfolio, listing websites, and services currently being offered
  • Communicate with Vantage guests via phone calls and emails, actively listening to determine appropriate property, considering travel dates; financial considerations; and accommodations required
  • Ensure Lodging Agreements for all reservations are returned promptly, prior to the guests arrival, and accurately processed
  • Guests balances paid in full, in accordance
  • Field incoming guest inquiries and book reservations
  • Welcome each new incoming guest
  • Manage Check-in and Check-out process each week at onsite office
  • Maintain consistent communication with condo owners
  • Inspect all properties between check-in and check-outs for cleanliness and damage
  • Provide tours of the property for potential guests
  • Process Security Deposit Waiver Claims
  • Supervise and Coordinate all cleaning, maintenance issues, and linens
  • Communicate with Property Management vendors for any building concerns
  • Manage Marketing Campaigns targeted directly to Belmont Towers Property Owners
  • Meet with new owners for Belmont Towers and review rental listing paperwork
  • Work with outside vendors
  • Deliver maintenance/stock items to a unit when needed for guest satisfaction, on a as needed basis i.e. deliver new coffeemaker
  • Inspect rental units pre-season to ensure that the unit is ready for rentals
  • Perform clerical support duties such as, but not limited to, filing, copying, opening and sorting mail, checking email and phone messages
  • Be available for after hours on-call coverage, approximately once every 4-6 weeks between May and October
  • Interact with all levels of management regarding property care issues as needed.  i.e. guest removals, extensive property damage by a guest, etc.
  • Perform minor maintenance tasks in units such as, but not limited to, changing smoke detector batteries, changing HVAC filters, moving outside furniture inside a unit, taking out trash, remove linens from beds and bag for linen pick-up, retrieving linen bags from units when not picked up by linen company, change light bulbs, deliver linens/towels to guests who may have been shorted in
  • Manage owners accounts with Billing and/or Billing issues
  • Field client concerns
  • Network with local community to generate new business



To be considered for this position all candidates must have the following:

  • A minimum of 3-5 years of experience in Hotel Management or Vacation Rental Management
  • Ability to obtain required NJ Real Estate license within 90 days
  • Must be proficient in Microsoft Suite, additional computer skills a plus
  • Valid Driver’s License and reliable transportation

  • Strong time management skills, regularly beating deadlines with accurate work
  • Excellent communication skills—Verbal and Written, and be able to speak quickly on their toes
  • Ability to delegate and manage delegated items while executing their own tasks
  • Extremely Detail Oriented
  • Ability to climb stairs and use a ladder
  • Capable of working outdoors and in high temperatures
